Privacy for restoration intake

This policy explains how NovaPro handles property-damage requests, contact information, photos, and claim-related intake details submitted through the website.

Send for intake

The public form should carry enough information to respond quickly, understand the loss, and prepare for inspection without collecting unrelated records.

  • Name, phone, property address or ZIP, and urgency
  • Damage type, date of loss, affected rooms, and current conditions
  • Insurance carrier and claim number when already available
  • Photos that show the damaged area, standing water, smoke, fire, or visible growth

Keep out of the public form

Full policy packets or unrelated insurance paperwork

Government IDs, payment cards, or bank details

Medical information or unrelated personal documents

How details move

Intake records stay tied to the restoration workflow: first response, owner review, and authorized documentation after the request is qualified.

01

Website intake

Request details enter the lead file

Form submissions may include contact details, property information, damage context, uploaded photos, source URL, referrer, UTM tracking details, Google Click ID when present, and technical request data such as IP address.

02

Owner review

NovaPro reviews the request before work

Details are used to respond, qualify the damage, schedule inspection, identify safety or access concerns, and decide what should wait for written authorization.

03

Authorized sharing

Carrier materials wait for authorization

Estimate, invoice, photo, reading, and scope materials may be shared with the insurance carrier only after customer authorization.

Retention and access

Lead records, photos, and related restoration documentation are retained only as needed for intake, service, business, legal, security, and recordkeeping purposes. Access should stay limited to people and vendors who need it for those purposes.

Technical, tracking, and photo data

  • The site may use Google Analytics 4 when configured to understand page activity, form events, call-button clicks, referring pages, campaign links, and general device/browser information.
  • Lead forms may use Cloudflare Turnstile to reduce spam and automated submissions. Turnstile verification can send a browser token, action name, hostname, and IP-related request data to Cloudflare.
  • Uploaded photos may contain embedded metadata such as capture time, device details, or location data. Avoid uploading unrelated personal documents or images that reveal sensitive information outside the damage area.
  • Lead and photo records are retained only for approved intake, service, business, legal, security, and recordkeeping purposes. The production retention window must be approved before public lead intake is enabled.
